Steering Team Meeting Minutes
Monday November 5th, 2007
5:00 PM, Valley Media Center
In attendance: Sharon Rich, Sheryl Butikofer, Cathy Molumby, Steve Friederich, Tim Corkery, Linda Watson, Malinda Hanson, Cassie Friederich
Financial Reports: VCC Budget- Our ending balance as of October 10th, 2007 was $6,973.27.
- $4,121.18 was deposited back into the coalition’s account from the Mentoring account. This was a reimbursement from money spent for Mentoring prior to the Turkey River Classic Golf Tournament.
Mentoring Budget:
Advertising/Promotion: $650.00 per year
Salary/Benefits: $1,430.77 per month, $17,169.24 per year
Helping Services Administrative Fee: $214.61 per month, $2,575.32 per year
Background Check Fees: $150.00 per year
Activities: $300 per year
Supplies/Equipment: $300.00 per year
Professional Development: $250.00
Travel/Mileage: $300.00
-We received $13,800 from the Turkey River Classic Golf Tournament.
-We also received $6,400 from the Fayette County Mentoring Partnership
Needs Assessment: Data Collected at the All VCC Meeting
-An evaluation survey was handed out to those who attended October’s All VCC Meeting. 49 people responded. Results were calculated and tabulated by Malinda. If interested in seeing results, ask Malinda.
-Malinda has also compiled the information received from the small group breakout sessions at the All VCC Meeting. It was asked to put this information into narrative form to easily share with other coalition members and the community.
-It was suggested to look into using survey monkey (online) for future surveys.
Sub-Group Reports:
Discussion was held about confusion over report notes and it was determined that future subgroup reports will not be attached to the monthly agenda, but included in the minutes. Handouts will be presented at the Monthly Steering Team meeting.
Take It Back Community Meeting:
This is a Youth led movement!! SODA has applied to receive the packet of information needed to carry out this meeting. They are still waiting to hear if they will receive it or not! We will keep you posted!
DFC Orientation, Oct. 20th, reflection:
Minutes from that meeting were handed out. They are attached to this email if you would like to take a look! It was agreed upon that the meeting was a success. Cassie and Malinda will do follow-up one-on-one meetings with those who were not able to attend the meeting!
All VCC Meeting, Oct. 24th, reflection:
The meeting was another great success!! We had a great turnout and had a lot of participation in the small group breakout sessions! We also had a lot of response to the evaluations we asked everyone to fill out at the end of the meeting!! Next All VCC Meeting is scheduled for Jan. 30th at the Clermont Opera House. “Celebrating SODA” will be the theme. SODA will also be having their basket auction that evening!
Coupon Book:
All businesses that have participated in the past have been contacted and asked to participate again. SODA members will be adding “SODA Service” to the coupon book. An example would be- raking leaves for an hour or washing your car. The Elgin Echo will be contacted shortly to discuss printing. We have one financial sponsor, Rod’s Plumbing and Heating, to held cover the printing costs. If you, or someone you know would like to be a financial sponsor for the VCC Coupon Books, please let Cassie know!
Task Groups/Linda:
According to our DFC work plan, we need to create three different teams. A recruitment team, an orientation team, and a training team. It was decided to table this discussion until more Steering Team members could be present to be a part of the decision making.
A meeting will be held at 4:00 on December 4, prior to the Steering Team Meeting, in the Valley media center, to establish a process for establishing task groups.
DFC Grant/Staffing:
Linda presented the Steering Team with a revised budget. Money was moved from the Administrative Assistant position line item to other areas of the budget that needed a boost.
