Steering Team Meeting Minutes

In attendance: Alice Schaer, Stephanie Murphy, Sharon Rich, Allen Knox, Sheryl Butikofer, Cathy Molumby, Sarah Jacobs, Kristopher Peterson, Malinda Hanson, Cassie Friederich
Financial Reports: VCC Budget- Our ending balance as of Sept. 12th, 2007 was $4,545.71.
- A separate checking account has been opened for Valley Mentoring! $10,000 has been deposited from the Turkey River Classic checking account into the Valley Mentoring account.
- It was suggested that the Coupon Book line item be zeroed out and moved into the General Fund Line item, in order to no longer have the General Fund in the red.
- We need to be constantly looking for other grants to cover items such as youth center phone, cable, Culligan water, etc…
Needs Assessment:
We will be discussing the Tri-Ethnic Survey results at the upcoming All VCC Meeting on Oct. 24th! Those in attendance will be split into smaller groups and asked to have a discussion on each suggested strategy outlined by the Tri-Ethnic Survey. We will ask them what they see that the VCC is already doing in these areas, and what we can do for new strategies!

We have started something new with this Steering Team Meeting!! Malinda and Cassie’s subgroup reports were emailed or sent out with the agenda prior to the Steering Team Meeting. This will give Steering Team members a chance to read over the reports prior to the meeting, and then come to the meeting with any questions they might have. This will save time at the meeting so we are able to discuss items that need discussing, rather then doing a lot of information sharing. If you are not able to attend the meeting and have questions about our reports, please feel free to give us a call or send an email!
5th and 6th Grade Youth Center:
The VCC hopes to be purchasing the curriculum “Too Good for Drugs” to be implemented with the 5th and 6th graders. Youth Center will end at 5:30 pm this year rather then 6:00 pm. Families are asked to donate $15.00 for the year to cover the costs of pizza and pop. Volunteers are needed to help facilitate the curriculum! If you are interested in helping with 5th and/or 6th grade youth center, please get a hold of Malinda ASAP!!

DFC Classification Tool:
This is an online survey the coalition is required to fill out about the VCC. Sheryl and Malinda will be completing this survey!
Coupon Book:
Cassie has met with Marty Jacobs to get the information about the coupon book! A few people have agreed to make contacts with area businesses to see if they are interested in participating again this year, but we need more help! If you are willing to make a few visits, please let Cassie know ASAP!! We appreciate your help! SODA members will be adding “SODA Service” to the coupon book. An example would be- raking leaves for an hour or washing your car. Both SODA and Mentoring will sell books and will receive the profits from the books that are sold.
DFC Orientation, October 20th, Quarry Lodge:
Staff, Cathy Molumby, Sharon Rich, and Linda Watson met to discuss this meeting. Cathy will facilitate the meeting; she has created an agenda for the day! All individuals who signed MOU’s for the DFC grant, and new coalition members have been invited to attend this orientation! Staff and Sharon will get together in the coming week to decide what information we would like to put in binders to share with new coalition members! Tentative schedule for the day is below!

VCC Fund Development Update/Report:
FDT will be starting the weekly mailing system! They will also be contacting people about IGIVE.com. Does it make sense to create a database spreadsheet for grant applications, due dates, sources, etc, and have this managed by the FDT? Would it also make sense for the FDT to maintain a register, log, or master list of fundraising efforts in the community, as to not overlap with other organizations when the VCC does fundraising? 1. 5th & 6th grade Youth Center:
¶ Dates have been set!
¶ We have ordered a research-based program: Too Good For Drugs
& Violence
¶ We are looking for parent volunteers to help facilitate the
activities - I will train them
¶ I will be attending the October 10 Ministerial Alliance meeting to
talk to leaders of the faith community about leading the model
program and helping to find volunteers for the Youth Center
2. Jr. High and High School Youth Center
¶ Dates are set
¶ We are looking for parent/community volunteers to sponsor Youth
Center nights
¶ Livingstone will be using the Youth Center again beginning in
October
3. SODA Leadership Retreat
¶ It was AWESOME!
¶ 10 Kids participated
¶ Activities for SODA are broken down into “Planning Sheets”…SODA leaders will take the leadership roles in the activities and will be asking other SODA members to be on their “teams”
¶ Pastor Lee Boleyn and First Baptist Church donated $250.00 toward our retreat!
4. Risky Business Conference
¶ SODA officers/ambassadors have started planning for a presentation and are gathering pictures, etc to put into a powerpoint demonstration
¶ We have not heard yet if the workshop proposal we submitted has been accepted
5. SODA Rubber Duck Races!
¶ We ended up selling 91 ducks!
¶ Butch Bond from Wadena was our winner!
6. SODA Kick-Off
¶ SODA leaders set a budget and picked all of the prizes for the
kick-off
¶ So far, there are 81 kids signed up for SODA!!
¶ Drawings for prizes will be held at each SODA meeting-that was the kids’ idea as an incentive to get kids to come to each meeting
7. SODA School Assembly
¶ Jenna Pollock led a 7-12 grade school assembly to introduce SODA officers/ambassadors and to talk to the student body about SODA- It led to a lot of kids talking to their parents about SODA and signing up!
8. Governor’s Volunteer Award
¶ I nominated Tim Corkery and will be going to Marion with him on
October 22 to receive his award
9. New SODA T-shirts!
¶ SODA T-shirts now have the “Top 5 Reasons to be in SODA” printed
on the back
10. SODA leadership
¶ SODA officers and leaders are “stepping up” to leadership roles..it’s so cool! Here are some of the things they are doing….
1. Completing VCC deposit and request for funds sheets
2. Keeping track of the SODA budget
3. Making announcements at school
4. Heading up teams to do activities/projects
5. Volunteering their time to be part of the VCC Coupon Books – “SODA Service”
6. Attending coalition meetings
7. Leading SODA meetings
8. Presenting at All-VCC meetings
9. Taking lead on fund-raising and recruiting
10. And lots more!
11. Tri-Ethnic Needs Assessment
¶ This will be part of the All-VCC meeting
12. DFC Stuff
¶ We have met with ST leaders to talk about DFC
¶ We have been contacting people who signed MOU’s about the
upcoming orientatation
¶ We have been finding out more about evaluation and needs
assessment
13. Volunteers!
¶ Darla Butikofer is now doing our in-kind and has it ready to submit
for our quarterly/end of the year report
¶ I have talked with Sarah Schori and she is going to take over doing
the newsletter!
¶ I have also talked with a parent that is willing to take lead on
planning at least one SODA field trip per year!
14. COMET
¶ I am working on getting information together for our COMET
report. It will be due in November
15. DFC Classification Tool
¶ This is an on-line tool that Sharon and I did last year
¶ We need to decide who is going to do it this year
16. Supporting Players
¶ We are up and running again!
¶ Annette Butikofer is taking it over and Janice Knox has agreed to
assist her!
¶ There is a great group of kids that want to be involved!
17. ACE Grant
¶ I submitted an ACE Grant to cover the cost of the leadership retreat and to cover the cost of the curriculum purchased for the 5th & 6th grade Youth Center
18. Valley School Open House
¶ Cassie and I had a table at the open house…several people stopped by to pick up SODA forms and ask questions about SODA…it was pretty cool!
