Steering Team Meeting Minutes

Tuesday October 2^nd, 2007

In attendance: Alice Schaer, Stephanie Murphy, Sharon Rich, Allen Knox, Sheryl Butikofer, Cathy Molumby, Sarah Jacobs, Kristopher Peterson, Malinda Hanson, Cassie Friederich

Financial Reports:  VCC Budget- Our ending balance as of Sept. 12^th, 2007 was $4,545.71. 

-         A separate checking account has been opened for Valley Mentoring!  $10,000 has been deposited from the Turkey River Classic checking account into the Valley Mentoring account.

-         It was suggested that the Coupon Book line item be zeroed out and moved into the General Fund Line item, in order to no longer have the General Fund in the red.

-         We need to be constantly looking for other grants to cover items such as youth center phone, cable, Culligan water, etc…

Needs Assessment:

We will be discussing the Tri-Ethnic Survey results at the upcoming All VCC Meeting on Oct. 24^th!  Those in attendance will be split into smaller groups and asked to have a discussion on each suggested strategy outlined by the Tri-Ethnic Survey.  We will ask them what they see that the VCC is already doing in these areas, and what we can do for new strategies!

We have started something new with this Steering Team Meeting!!  Malinda and Cassie’s subgroup reports were emailed or sent out with the agenda prior to the Steering Team Meeting.  This will give Steering Team members a chance to read over the reports prior to the meeting, and then come to the meeting with any questions they might have.  This will save time at the meeting so we are able to discuss items that need discussing, rather then doing a lot of information sharing.  If you are not able to attend the meeting and have questions about our reports, please feel free to give us a call or send an email! 

5^th and 6^th Grade Youth Center:

The VCC hopes to be purchasing the curriculum “Too Good for Drugs” to be implemented with the 5^th and 6^th graders.  Youth Center will end at 5:30 pm this year rather then 6:00 pm.  Families are asked to donate $15.00 for the year to cover the costs of pizza and pop.  Volunteers are needed to help facilitate the curriculum!  If you are interested in helping with 5^th and/or 6^th grade youth center, please get a hold of Malinda ASAP!!

DFC Classification Tool:

This is an online survey the coalition is required to fill out about the VCC.  Sheryl and Malinda will be completing this survey!

Coupon Book:

Cassie has met with Marty Jacobs to get the information about the coupon book!  A few people have agreed to make contacts with area businesses to see if they are interested in participating again this year, but we need more help!  If you are willing to make a few visits, please let Cassie know ASAP!!  We appreciate your help!  SODA members will be adding “SODA Service” to the coupon book.  An example would be- raking leaves for an hour or washing your car.  Both SODA and Mentoring will sell books and will receive the profits from the books that are sold. 

DFC Orientation, October 20^th, Quarry Lodge:

Staff, Cathy Molumby, Sharon Rich, and Linda Watson met to discuss this meeting.  Cathy will facilitate the meeting; she has created an agenda for the day!  All individuals who signed MOU’s for the DFC grant, and new coalition members have been invited to attend this orientation!  Staff and Sharon will get together in the coming week to decide what information we would like to put in binders to share with new coalition members!  Tentative schedule for the day is below!

VCC Fund Development Update/Report:

FDT will be starting the weekly mailing system!  They will also be contacting people about IGIVE.com.  Does it make sense to create a database spreadsheet for grant applications, due dates, sources, etc, and have this managed by the FDT?  Would it also make sense for the FDT to maintain a register, log, or master list of fundraising efforts in the community, as to not overlap with other organizations when the VCC does fundraising?  Let Al know if you have any questions or concerns!

Steering Team Report

October 2^nd, 2007

1. We currently have 9 Mentor/Mentee Matches!  There are 4 mentors waiting to be matched with youth!  Two teachers have contacted me about parents who are interested in having their child be a part of the mentoring program; I am waiting on paperwork in order to proceed!!
2. Mentor Training schedule for Tuesday Oct. 23^rd @ 5:30 P.M.  The topic is “Ability Awareness!”
3. Fayette County Mentoring Partnership Meeting scheduled for Oct. 11^th @ 9:30 A.M. in Fayette.
4. Mentoring Subgroup Meeting scheduled for Wednesday Nov. 7^th @ 5:00 P.M. @ VCC Youth Center.
5. October Mentoring Event- Sunday Oct. 28^th at the Maize Maze. 
6. A grant application was submitted to ACE to help gain more funding for Mentoring.
7. Getting the word out- I spoke with Valley teachers on Sept. 12^th about referring students to be a part of the mentoring program.  We had a information table at the Valley Tailgate Party on Sept. 7^th.  We also had an information table at the 7-12 Open House at Valley.

1. Beverage Server Training Scheduled for Thursday Oct. 18^th 6:00-8:00 P.M. @ Quarry Lodge.  All licensees in Fayette County were invited to attend.  Deputy Shad Roys will be presenting.
2. Fayette County Substance Abuse Coalition Meeting scheduled for Monday Oct. 8^th @ 5:30 P.M. in Fayette.
3. We are collecting more items from area businesses to include in our Welcome Baskets!  We have over 30 businesses participating!
4. Pharming Training this Fall??  I have been emailing with Linda Kalin from the Iowa Poison Control Center about having a Parent/Community Presentation about over the counter and prescription drug abuse!  More information to come!
5. I have been continuing to meet with community members!  Getting their thoughts and ideas about what the Parent/Community Subgroup can do to educate the community!  We also hope these meetings will spark interest in people to get involved in the P/C Subgroup!

1. We will be having the VCC Savings Cards again this year as a fundraiser for Mentoring and SODA!  If you would like to help us by contacting businesses to see if they would like to participate again, please let Cassie know!  We need your help!! 

1. Alice Schaer and Tim Corkery will be receiving the Governor’s Volunteer Award on Monday Oct. 22^nd @ 10:30 A.M. in Marion!  Malinda and Cassie will be joining them at the awards ceremony!  Congratulations Alice and Tim!!

1. Wednesday Oct. 24^th 5:00-7:00 P.M. @ the Elgin Legion Hall!  We will be having a resource fair!!  Community groups, churches, resource agencies, etc…are invited to come and share information with the community about the resources they provide!!  Free Barney Burgers, chips, pop, and other goodies will be provided! 

1. We will be attending a conference on Teen Violence in Decorah on Tuesday Oct. 2^nd!

1. Malinda, Linda, and I met with Britt Rhodes on Sept. 26^th to discuss EvaluationJ She will be helping us figure out the best way to evaluate the VCC’s programs!
2. We have contacted all of the MOU signers to invite and encourage them to attend the Orientation Meeting Scheduled for Saturday Oct. 20^th 8:30-11:00 A.M. to learn more about the VCC, and how we need them to get involved!!
