Steering Team Meeting Minutes

Tuesday September 4th, 2007

 

In attendance: Alice Schaer, Linda Watson, Stephanie Murphy, Sharon Rich, Allen Knox, Sheryl Butikofer, Lee Boleyn, Malinda Hanson, Cassie Friederich

 

Financial Reports:  VCC Budget- Our ending balance as of Aug. 8th, 2007 was $5,266.95. 

 

Valley Mentoring Needs: Total donations, including In Kind, for the Turkey River Classic Golf Tournament was $19,600.  Net earnings which will be donated to Valley Mentoring will be between $13,200-$13, 500.  The TRC Committee will present a check to VM with the total profits from the tournament-possibly at All VCC Meeting.

 

Grant Updates:

            ACE Grant- We will apply again for the Unclaimed Properties dollars.

            Separate applications will be submitted for Mentoring and SODA.

            Boat Grant- Joyce Friederich is looking into this, not sure where she is at with it?

            Community Grant- We received $3,000 for specific uses.

            Iowa Department of Public Health-Safe and Drug Free Schools through    

            Supportive Community Partnerships- The VCC will be benefiting from this

            $55,00 grant VCSD received!  All Stars will be funded through this grant!

 

Sub-Group Reports:

Youth-

-Duck Races were held Saturday Sep. 8th   A potluck and games were held at Gilbertson Park, while the race was held up the river, in order to keep all youth away from the water.

-SODA Kickoff was held Friday Sep. 7th at Valley’s Tailgate Party.  New SODA T-shirts were distributed which now have the “Top 5 reasons to be in SODA” on the back of the shirt.

Parent/Community-

-Upcoming Parent/Community Subgroup Meeting- Wed. Sep. 19th at 4:00 P.M. at the VCC Youth Center.  Everyone is welcome to attend!!

-The P/C subgroup will be sending out Smoke-Free Restaurant Surveys to restaurants in the Valley asking their opinions about becoming smoke-free.  If you are interested in participating in this initiative, please contact Cassie.

-Continuing to meet with community members!!  Discussing their thoughts on what they see as concerns for youth in the Valley, and how can the parents and community member’s help to support those concerns.  If you have ideas of people Cassie should meet with, let her know!

Mentoring-

          -We currently have 9 Mentor/Mentee Matches

            -Mentoring Subgroup Meeting Wed. Sep. 26th at 5:00 P.M.  Everyone is Welcome

            join us!!

           

-Upcoming Mentor Training: Oct. 23d at 5:00 P.M., The topic is “Ability

             Awareness.”

            -Our next Mentoring Event will be in October!! Date and Activity TBA!!

 

5th/6th Grade Youth Center:

-Still continuing to research model programs to use during 5th/6th grade youth center.  YC is scheduled to start up in Oct./Nov.

 

Needs Assessment:

-Needs Assessment is a part of the Strategic Prevention Framework for our DFC Grant!  It helps us to see where we need to go and where we are at as a community.  It also helps us to do our reporting which is required for the DFC Grant.

-NA will happen every 6 months!

-Malinda handed out a packet for us to look over.  It explains a little more about the Tri-Ethnic Survey and the results from the survey that was just done.  We will go over it in more detail at the October Steering Team Meeting.

 

All VCC Meeting, topic?:

-Resource Partner Fair-invite other groups from the area who work in prevention and treatment!!

-Show VCC Presentation that Kris, Cassie and Malinda are putting together (if it is finished).

-Inform people about In Kind.  Let them know how much they are worth by coming and participating in an All VCC Meeting.

-Letting people know we need volunteers more then ever, and let them know how they can help. 

-Wednesday, Oct. 24th at the Elgin Legion Hall

-Al will talk to Barney about cooking burgers.

-Possibly get a speaker about the difficulties of change.  Perhaps a counselor from Backbone.

 

DFC Update:

-In Kind match will go up each year.  We need to be less dependent on grant dollars and more dependant on the community!

-How can we tell the public about the DFC Grant!!??

-Meet with staff, Steering Team leaders, Dave and Linda on Sep. 12th to review work plan, budget, limitations, responsibilities, etc…

-Need to get an orientation committee together!!  Meet with MOU signers to get them oriented to the VCC!!  Invite them to October ST Meeting?  All VCC Meeting?!

 

Coupon Book:

-Marty Jacobs is no longer able to put together the coupon books anymore.

-Mentoring will be taking over the coupon books as a fundraiser.

-SODA will possibly help with the selling of the books and get part of the profit?

-Cassie will talk with mentors and subgroup to see if they would be interested. 

Hiring:

-Can ½ time administrative assistant duties be delegated to volunteers?

-Money for AA position could be allocated elsewhere in the budget.

-We will discuss this further at the Oct. ST Meeting, after Sep. 12th’s meeting.

 

Supporting Players:

-Annette Butikofer is willing to help!  Malinda will be talking to her about details!!

-Janice Knox may also be willing to help out.

 

VCC Fund Development Update/Report:

-Everyone needs to check out igive.com!  Get registered and start shopping.

-We can put information about igive on the VCC Presentation that is going to be created!

-How else can we get the word out??

 

Other Reports, Information:

West Bend Mutual

            -Audit report

            -They say we owe $790, they thought we have changed, but we have not

            -Sharon is checking on this.
